Purpose

The Finance Officer is responsible to the GMFPC for the preparation, processing and data entry of activities related to the financial operations of Palmerston Association.

Key Responsibilities and Duties

The Finance Officer works with and takes direction from the GMFPC in undertaking duties which will include but not be limited to the following:

  • Collate invoices and prepare for payment through Expense Manager system or manual entry to the finance system.

  • Ensure invoices meet the legal minimum invoice requirements including supplier name; ABN and invoice date.

  • Ensure invoice coding is correct including amount; GST; class code and GL account.

  • Ensure invoice approval is in line with Palmerston Association Delegation of Authority policy.

  • Prepare weekly supplier payment runs for review.

  • Create bank payments for suppliers.

  • Maintain and update supplier details, and reconcile supplier statements.

  • Company credit card reconciliation.

  • Raise invoices to customers and chase payment where required.

  • Data entry of financial transactions in a timely and accurate manner.

  • Manage the accounts email inbox.

  • Maintain company vehicle register.

  • Manage distribution of company fuel cards and all related queries

  • Preparation of financial documents for yearly audit.

  • Provide backup to the Finance & Payroll Officer with payroll and related matters.

  • Contribute to the development and maintenance of financial systems and processes.

  • Undertake filing and other tasks as requested.

  • Assist with maintaining the Palmerston asset registers in conjunction with the FM.

  • Be aware of, support and promote occupational health and safety standards

  • Contribute to and promote the implementation of WANADA Alcohol and Other Drugs (AOD) Human Services Standard

  • Other duties as required

Essential Criteria for Position

  • A minimum of two years’ finance processing experience

  • Demonstrated experience and competency in Microsoft Office.

  • Demonstrated time management and work priority skills and an ability to work in an ordered and methodical way.

  • Demonstrate initiative in tasks of an administrative nature appropriate to the role.

  • Demonstrated ability to be a team player and contribute to building a team spirit within the workplace.

  • A National Police Clearance.

Desirable Selection Criteria for Position

  • Experience with QuickBooks/Reckon

  • Experience using expense management systems.

  • Experience with Sage Micropay
